Guide

The date that matters is the hall’s, not the ship’s.

A trade-show shipment is planned backwards from the hall’s receiving window, not forward from the day the cargo is ready. Start with the deadline in the exhibitor manual, either the advance warehouse cut-off or the direct-to-show slot. Subtract delivery from the port, customs release, the sailing or flight, and the export cut-off in China. What is left is the latest cargo-ready date. Yihang Shipping writes that date on the quote. If it has already passed, the quote says so and offers rail or air.

Move-in timing

The count-back

  • Receiving deadline from the exhibitor manual
  • Minus delivery from port or airport to the hall or advance warehouse
  • Minus customs release at destination
  • Minus the sailing, train, or flight
  • Minus the export cut-off and the truck to the port in China

Advance warehouse or direct to show

  • Advance warehouse: an earlier deadline and storage fees, but the freight is on site before move-in
  • Direct to show: more days to finish the stand, but a missed slot is expensive
  • Overseas cargo usually goes to the advance warehouse
  • Both deadlines are in the general service contractor’s manual

What eats the margin

  • Chinese New Year inside the window
  • A feeder from Dalian or another North China port before the mainline
  • Peak season before the year-end holidays
  • An exhibit list that changes after the carnet is issued

Questions exhibitors ask

How early should exhibition cargo leave China?

Count back from move-in using the lane’s planning window, then add customs release and delivery to the hall. A West Coast sailing and a European sailing are not the same number of days. The count-back tool gives a planning date; the quote gives the booked one.

What is an advance warehouse?

A warehouse named by the show’s contractor that receives freight before move-in and delivers it to the booth. It costs storage and handling, and it removes the risk of missing a direct-to-show slot.

What if the date has passed?

Then the plan changes: rail for Europe, air for what can fly, and a smaller ocean shipment for what can follow later. The desk says which pieces still make it.
